SureSite Solutions (Pty) Ltd processes personal information to respond to enquiries, provide requested downloads and free audits, prepare quotations, compile and maintain SHE files, manage client relationships, issue invoices and meet legal obligations.
Website enquiries may include contact and company details, the requested service, mine or site, scope, deadline, referral page and campaign source. A free-audit submission may also include the client specification, work scope, current safety file, index, rejection comments and related supporting documents. Client service records may include identification and employment information, medical fitness evidence, training records, qualifications, signatures, equipment evidence and other information supplied for a contractor SHE file.
Free-audit users are asked to remove unnecessary ID numbers, medical details, home addresses, signatures, banking information and other personal data before upload. SureSite needs document names, roles and validity dates for most initial readiness checks, not the full personal record.
We process information where necessary to provide an agreed service, take steps requested before entering a contract, meet a legal duty, protect legitimate business interests, or where consent is required. Enquiry details are used to respond, qualify the request, prepare a quotation and manage follow-up.
Each successful website form receives a SureSite reference number. The record may include first- and last-touch campaign information so SureSite can understand which pages or advertisements generated the enquiry. Marketing messages are sent only where SureSite has an appropriate basis to do so. The optional marketing choice on website forms is separate from the information needed to answer the enquiry, and it may be withdrawn at any time.
SureSite uses Google Analytics to understand website use and to measure whether advertising generates genuine enquiries. The Google tag loads only after a visitor accepts analytics through the website's cookie choices. If accepted, Google may process online identifiers, device and browser information, pages visited, campaign information and interaction events. Visitors may decline analytics or change their choice at any time using the "Cookie choices" control on the website.
Information may be shared with authorised staff, approved hosting, email, CRM and secure file-sharing providers, technical reviewers, and the receiving client or mine where the contractor instructs us to do so. Service providers may process information only for the authorised service. We do not sell personal information.
At the effective date, SureSite's website server is located in the United Kingdom and hosting backups are located in Germany. Website enquiry records may therefore be processed or stored outside South Africa. SureSite applies the safeguards required for international transfers and limits service providers to the authorised hosting, backup, communication and business-system purposes.
We use access controls, password protection, private server storage and controlled file-sharing methods. Free-audit uploads are not available through a public website link. They are scheduled for deletion within 30 days after the audit result unless the user asks SureSite to quote or perform further work, a longer period is agreed, or retention is reasonably required for a dispute or legal duty. Other records are retained only for the period required by the service, law, contract or legitimate record-keeping need.
You may request access, correction or deletion where legally permitted, object to certain processing, withdraw consent where processing relies on consent, or complain to the Information Regulator.
